Should you delete or archive content
In Expert, you can choose to delete or archive pages or sections. Deleted pages, including any attachments, are moved to the Control Panel and can be restored later, if needed. Alternatively, you can create a section within your hierarchy to archive content. Archived pages are stored in a designated section for easier access and organization.
Which is better?
Ultimately, the decision depends on your specific needs and how crucial it is to have quick access to the content. Evaluate your usage patterns and the importance of the information to choose the best approach.
Access frequency
When deciding whether to delete or archive content, consider how frequently you need to access the information.
- If you refer to the content regularly, archiving is likely the better option because it allows you to keep the information organized and easily accessible for future reference.
- If the content is rarely needed, deletion might be more efficient because it helps reduce clutter on your site, making content management easier.
Functionality of delete vs archive
Consider the following functions when choosing between the options.
Delete pages
- Storage limit: The "deleted files" section of the Control Panel is limited to 5,000 files. Once this limit is reached, the oldest files will be permanently deleted.
- Navigation difficulty: It can be a challenge to locate pages that were deleted a long time ago.
- Incomplete previews: The preview of a page you want to restore may not show all elements that will be restored.
- Sub-page restoration: Sub-pages of deleted pages can only be restored by restoring the parent page.
- Admin access: Only Admin users can restore files.
- Search visibility: Deleted pages will not appear in search results for any users.
Archive pages
- Admin access: By default, Admin users will have access to the archived section, and it will be included in their search results.
- Search visibility: Archived pages will appear in search results for Admins and any users that have been assigned access to it. This can cause confusion.
- Role-based access: Other roles can be assigned access to the archived section, allowing for increased flexibility around content access compared to deleted content.
- Easy navigation: It is easy to find and navigate archived content, and view it in its original form.
How to archive content
- Create a private section on your site and organize this section as you see fit.
- Add users or groups that will need access to this section.
- Move pages you want to archive to this section.
