Manage Templates to speed up content creation

Streamline content creation by removing unnecessary New Page templates, applying permission-based access for relevant options, and updating template text to enhance usability.

Clean up out-of-the-box New Page templates and turn off unnecessary templates to simplify your content creation experience. Implement permission-based templates to streamline the options available to different content creators, ensuring they only see templates relevant to their roles. 

Delete or replace new page template text

This does not affect existing templates on your site.

  1. Navigate to Site Tools > Dashboard > Site Administration > Template Directory
  2. At the bottom of the page and find the out-of-the-box templates under Pages.
  3. Click Category > Edit.
  4. Delete or replace the template text.
  5. Click Save.
  6. Repeat this process for the Guide and the Article page templates (Topic, Reference and How-To). 

Turn off new page templates 

This does not affect existing templates on your site.

  1. Navigate to Site Tools > Dashboard > Site Administration > Template Directory
  2. Click the pencil icon next to any New Page Custom Template or any out-of-the-box New Page Template.
  3. Click Default (General Purpose Template) > Update Template Properties.  

Apply permissions to templates 

  1. Navigate to Site Tools > Dashboard > Site Administration > Template Directory
  2. Open the template you want to apply permissions to.  
  3. Click Options > Restrict Access > Private
  4. Under Page-Level Permissions add the Users or Groups that you want to have access to the template, and assign a role. 
  5. Click Add to list.
  6. Click Save Settings

Hide new page templates

This will not hide New Page Templates from Admins, because Admins have access to all pages. This does not affect existing templates on your site.

  1. Go to Dashboard > Site Administration > Template Directory
  2. Open the template you want to hide. 
  3. Click Options > Restrict Access > Private

Any Draft Contributors, Authors, and Editors who try to create new pages will not see these options unless you explicitly give them permission
